HVAC maintenance plan pricing and templates

A contractor in cooling-heavy South Florida needs different maintenance plans than one servicing gas furnaces or heat pumps. Here are seven equipment-based plan structures, example pricing per system, visit schedules and checklists you can adapt for your region.

How to build a maintenance plan

  1. Pick the equipment and visit schedule that fit your customers.
  2. Set your prices, additional-system rates, checklist, benefits and exclusions.
  3. Set service duration and which technicians can perform it.
  4. Offer only the plans you want to sell.

Best for: Cooling-focused homes.

Visits: 2 visits per year
Best for: South Florida and similar cooling-heavy areas; central AC, including AC with electric heat.

Two preventive visits roughly six months apart. Heat pumps use the heat pump plan, including heating and defrost checks.

Heat Pump Care

Example price: $219 first system · $159 each additional
Visits: 2 visits per year
Best for: Any region with a ducted heat pump.

Equipment type matters more than ZIP code: a Florida heat pump still needs heat pump checks.

Gas Furnace + AC Care

Example price: $249 first paired system · $179 each additional
Visits: 2 visits per year (one cooling, one heating)
Best for: Homes with gas heat and central AC.

A paired furnace and AC counts as one covered combination, not two full-price systems. Dual fuel needs its own pricing or a quote.

Gas Furnace Care

Visits: 1 visit per year
Best for: Heating-only coverage.

Does not include an AC tune-up. Oil, boilers and hydronic systems need their own plan or a quote.

Ductless / Mini-Split Care

Best for: Any region; priced by outdoor units and indoor heads.

Example: one outdoor unit with three heads = $219 + $79 + $79 = $377 per year. Deep cleaning and disassembly excluded.

Commercial / Specialty Care

Best for: Rooftop units, VRF, boilers, oil furnaces, geothermal, dual fuel and specialty equipment.

Quote only. Quarterly service is something to scope, not an automatic promise.

Questions to match a caller to the right plan

  1. What type of heating and cooling equipment do you have?
  2. How many systems would you like covered at this address?
  3. Is everything working normally, or is there a problem right now?

Also ask about residential or commercial use, unusual access, and the number of indoor heads for mini-splits.

When to quote instead

Commercial equipment, specialty systems, unusual access, mixed equipment without a set price and work outside the checklist need a custom quote. A quote request is not a booked maintenance visit, and an active breakdown should follow your diagnostic and repair policy.

Your pricing, your terms

Compare equivalent maintenance services in your area, not just advertised headline prices. Account for labor, travel, materials, equipment count and member benefits, and define what is included and excluded, plus billing, renewal and cancellation terms. Each contractor sets their own prices and terms; these templates are optional and example prices are not minimums.

There is no single right price. Compare equivalent coverage in your local market, then account for labor, travel, materials, the number of systems and member benefits, plus your required margin. The examples on this page are illustrative only.

Should I charge per system or per home?

Most plans price the first system and offer a lower rate for each additional system at the same address. A gas furnace paired with an AC can count as one covered combination instead of two full-price systems.

How many maintenance visits per year?

It depends on the equipment and climate. Cooling-heavy areas like South Florida often use two AC visits a year; heat pumps and furnace-plus-AC homes typically get one cooling and one heating visit.

How do you price mini-split maintenance?

A common structure prices the first outdoor unit with its first indoor head, then adds a smaller charge for each extra indoor head and for additional outdoor systems.

What should be quoted instead of priced on a plan?

Commercial rooftop units, VRF, boilers, oil, geothermal, dual fuel, specialty equipment, unusual access and active breakdowns are best handled by a custom quote or your repair policy.
